Who we are

Instinct Automation ("we", "us", "our") designs and builds custom AI and workflow automation systems for businesses. This policy explains what information we collect through our website, our contact form, and our on-site AI assistant ("Rein"), and how we handle it. It applies to https://instinctautomation.lovable.app and does not cover the internal systems we build for clients, which are governed by that client's own agreement and privacy notices.

What we collect

We collect information in three ways:

  • Contact form submissions. When you fill in our contact form, we collect the fields you provide — typically name, email address, company name, and a description of your project. This is sent to us so we can respond to your enquiry.
  • Rein conversation content. Messages you send to Rein are stored in your browser's local storage so your conversation persists across a visit, and each message is sent to our AI model provider to generate a reply. We do not ask Rein to collect sensitive personal information, and you should avoid sharing anything sensitive in that chat.
  • Basic server logs. Like most websites, our hosting provider automatically logs technical details of each request — such as IP address, browser type, and timestamp — for security and reliability purposes. We don't use this for advertising or behavioural profiling.

Lawful basis for processing

Where GDPR or UK GDPR applies, we rely on the following bases: your consent when you voluntarily submit the contact form or start a conversation with Rein; our legitimate interest in responding to enquiries, keeping the site secure, and operating our business; and, where an engagement proceeds, the steps necessary to enter into or perform a contract with you.

How we use it

We use the information we collect to respond to enquiries, scope and deliver work you engage us for, generate replies within the Rein chat, keep the site secure and functioning, and meet our own legal and accounting obligations. We do not sell your information, and we do not use it for third-party advertising.

Retention

We keep contact form submissions and related correspondence for as long as needed to respond to your enquiry and, if we work together, for the duration of that relationship plus a reasonable period afterward for accounting and legal purposes. Rein conversation history stored in your browser stays there until you clear your browser storage or use the chat widget's own clear option; conversation content sent to our AI provider is retained by that provider only as long as its own data policy specifies for processing and safety purposes, not by us indefinitely. Server logs are typically retained for a limited period by our hosting provider and then rotated out.

Who we share it with (subprocessors)

We use a small number of service providers to run this site and respond to you:

  • Hosting and database provider — stores the site, contact submissions, and application data required to operate it.
  • AI model provider — processes the text you send to Rein in order to generate a reply.
  • Email and WhatsApp — used to receive and reply to enquiries you send through those channels, subject to each platform's own privacy terms.

We only share what's necessary for each provider to perform its function, and we don't permit these providers to use your information for their own marketing.

International transfers

We and our subprocessors may process information in countries outside your own, including outside the UK or European Economic Area. Where this happens, we rely on the safeguards those providers offer (such as standard contractual clauses or equivalent mechanisms) to keep your information appropriately protected regardless of where it's processed.

Your rights

Depending on where you're based, you may have rights under GDPR, UK GDPR, or similar laws to:

  • Ask what information we hold about you and get a copy of it.
  • Ask us to correct inaccurate information.
  • Ask us to delete information we hold about you.
  • Object to or restrict certain processing.
  • Withdraw consent at any time, where processing is based on consent.
  • Complain to your local data protection authority (in the UK, the ICO).

To exercise any of these, email us at instinctautomation.ai@gmail.com. We'll respond within a reasonable timeframe, and in any event within the period required by applicable law.

Cookies and local storage

The site stores a small amount of information in your browser: your theme preference (light or dark) and Rein's conversation history. We don't use third-party advertising or cross-site tracking cookies. See our Cookie Policy for detail.

Children

This site and our services are intended for businesses and professional contacts. We don't knowingly collect information from children, and we ask that children not use the contact form or Rein.

Changes to this policy

We may update this policy as our practices or the tools we use change. We'll update the "Last updated" date at the top of this page whenever we do, and material changes will be reflected here directly.
