Questions we hear before someone works with us.
Straight answers on timelines, investment, access, security, and what happens after launch — no hype, no fine print.
Getting started
How long does a first automation system take to build?
Most first systems take between two and six weeks from scoping to launch, depending on how many tools are involved and how much testing the workflow needs. We give you a specific timeline once we understand the process, not before.
What does "custom" actually mean here?
We do not sell templates. Every system is designed around your actual tools, data, and edge cases — the way your team really works, including the exceptions that break generic software. Two businesses in the same industry can end up with very different systems.
Do you work with small businesses, or only larger companies?
We work with both. What matters is whether a process is repetitive, well understood, and worth removing from your team's plate — company size is secondary to that.
What if we do not know exactly what we want automated?
That is normal. Most engagements start with a short conversation where we map your current process, point out where time and accuracy are being lost, and recommend where automation will have the clearest return.
Do we need any technical knowledge to work with you?
No. We handle the technical build and explain decisions in plain language. You bring knowledge of your process; we bring the systems to run it.
Scope & investment
How is investment worked out, since you do not publish prices?
Investment is based on the scope of the system — the number of steps, tools connected, edge cases handled, and ongoing maintenance required. We do not price by the hour or publish flat rates because a five-step workflow and a fifty-step one are not comparable.
Why do you not list pricing on the site?
Because scope drives investment, not a generic tier. Publishing a number before we understand your process would either overstate a simple job or understate a complex one — neither is useful to you.
Will we get a clear plan before committing to anything?
Yes. Every engagement starts with a scoped plan that sets out what will be built, what tools it touches, the timeline, and what is included in ongoing maintenance, before any commitment is made.
What happens if the scope changes partway through the build?
We flag it as soon as it becomes clear, explain the impact on timeline and investment, and agree the adjustment with you before continuing. Nothing changes without your sign-off.
Is there a minimum size of project you take on?
We focus on processes that are genuinely repetitive and time-consuming. If a process is too small to justify automation, we will tell you directly rather than take on work that will not pay off.
Build & timeline
What do you need access to before starting?
Typically read or admin access to the tools involved in the workflow — for example your CRM, inbox, spreadsheets, or messaging platform — plus a walkthrough of the current process from someone who runs it day to day.
How do you handle our credentials and logins?
Credentials are stored using the access controls native to the platforms we build on (such as n8n's encrypted credential storage), scoped to only what the workflow needs, and never shared outside the project team. We can also work with service accounts you control directly.
What happens if an automation breaks?
Systems we build include error handling and, where appropriate, alerts so issues surface quickly rather than failing silently. If something breaks, we investigate and fix it as part of the monthly maintenance included in most engagements.
Do you test the system before it goes live?
Yes. We run workflows against real and edge-case scenarios before handover, and typically shadow-run alongside your existing process for a short period before fully switching over.
Can the system integrate with tools we already use?
In most cases, yes. We build primarily with n8n along with direct API integrations, which cover the large majority of CRMs, spreadsheets, messaging platforms, and internal tools businesses already run on.
Security & data
Do you sign NDAs?
Yes. We are glad to sign an NDA before any detailed discussion of your process, data, or systems if that is required on your side.
Is your AI making decisions on our behalf, or assisting a human?
By default, our systems assist rather than decide autonomously on anything consequential — drafting, sorting, flagging, and summarising, with a human in the loop for judgment calls. Where full automation is appropriate, we agree that scope explicitly with you first.
What happens to data that gets sent to AI models as part of a workflow?
Data is sent only to the providers required for the specific task, using their standard API terms, and only the fields needed for that step — not entire databases. We can also discuss data minimisation or self-hosted alternatives for sensitive information.
Who owns the workflows and systems once they are built?
You do. The workflows, configurations, and documentation belong to your business once the engagement is paid for and delivered.
Do you work with regulated industries such as healthcare or finance?
We can, with the appropriate care around data handling and access controls for that industry. We will tell you upfront if a request falls outside what we are equipped to build responsibly.
After launch
Do you maintain what you build, or is it a one-off handover?
Most engagements include ongoing monthly maintenance — monitoring, fixing issues, and adjusting workflows as your tools or processes change. We build systems expecting to keep them healthy, not to disappear after launch.
What happens to the system if the engagement ends?
The system keeps running as configured. We provide documentation so your team or another provider can maintain it, and we are happy to support a clean handover if you choose to bring maintenance in-house.
Can the system be handed over to our in-house team?
Yes. We document the build clearly and can walk your team through it directly so they can own maintenance going forward, whenever that makes sense for you.
Will we get visibility into how the system is performing?
Yes, we agree what reporting or check-ins make sense for the system — this can range from a simple monthly summary to live dashboards, depending on the workflow.
What if our process changes after launch?
That is expected — processes evolve. Adjusting a live workflow as your business changes is part of what ongoing maintenance is for.
Working together
Do you work with existing automations we did not build?
Yes. We regularly review, repair, and extend automations built by a previous provider or an in-house team, once we have had a chance to audit how they currently work.
Do you work internationally, and across time zones?
Yes. We work with businesses across the US, UK, Canada, Australia, Europe, and the GCC, and structure communication and check-ins around your working hours.
How do we communicate during the build?
Primarily by message and email, with scheduled check-ins at key milestones. We keep communication direct and infrequent by design — enough to stay aligned without adding meetings to your week.
What if we are not happy with part of the build?
We review it with you, understand what is not working, and revise it. The build is not considered complete until it reliably does what was scoped.
How do we get started?
Send us a short brief of the process you would like to automate through the contact page. We reply with clarifying questions or a scoped plan outline, usually within one business day.
Still have a question specific to your business?
Send us the details of what you're trying to automate and we'll reply with a considered answer, usually within one business day.
